We have an exciting opportunity for someone to join a leading, top 50 UK law firm, as a Workplace Coordinator, in Exeter. This is an excellent opportunity for someone with experience across workplace operations, facilities, hospitality, events or customer service to join a professional and collaborative environment. You’ll play an important role in creating a safe, welcoming and well-run workplace for clients, visitors and colleagues, with a varied role covering workplace operations, meeting and event support, hospitality and AV. The successful candidate will be proactive, organised and confident taking ownership of day-to-day operational requirements, while providing a consistently high standard of service.
Responsibilities:
- Coordinating the day-to-day operation of workplace facilities and services, taking ownership of requests through to completion.
- Carrying out regular office checks, identifying issues and maintaining high standards across workspaces and communal areas.
- Coordinating maintenance requests and planned maintenance visits, keeping colleagues informed and minimising disruption.
- Maintaining workplace records, operational logs and relevant service documentation.
- Preparing meeting rooms for client and internal meetings, including room layouts, hospitality, catering and AV requirements.
- Providing first-line support for Microsoft Teams, video conferencing and meeting-room systems, working with IT where required.
- Coordinating on-site support for client and internal events.
- Providing reception cover when required, welcoming clients and visitors and managing calls, emails and general enquiries.
- Supporting print and post services during busy periods or absences.
- Following health, safety, security and environmental procedures and supporting relevant workplace initiatives.
- Managing day-to-day administration of the site's access-control system.
- Identifying opportunities to improve the efficiency, presentation and overall workplace experience.
About you:
- Previous experience in a workplace, facilities, hospitality, events or customer-service role, ideally within a professional environment.
- A strong client and colleague service focus, with a commitment to delivering an excellent workplace experience.
- Excellent organisational skills and the ability to manage competing priorities.
- Confident verbal and written communication skills.
- A proactive, flexible and adaptable approach, with the confidence to use initiative and take ownership of tasks.
- Strong attention to detail and a practical, methodical approach to problem solving.
- Professional, approachable and reliable, with sound judgement and discretion.
- Comfortable using Microsoft Outlook, Teams, Word and Excel, with the ability to learn new workplace systems.
- Confidence using AV and video-conferencing equipment would be advantageous.
- Willingness to occasionally adjust working hours to support events, planned maintenance or other operational requirements.
Hours & Benefits:
The role is full-time and permanent, based in Exeter, with working hours scheduled between 8:00am and 5:30pm, Monday to Friday. Occasional flexibility outside these hours may be required to support events or other workplace requirements.
